The Global Payroll Centre of Excellence provides specialist payroll expertise, governance, operational oversight and compliance support to ensure the effective delivery of payroll services for Aon’s globally mobile colleague population. The team partners closely with Global Mobility, Tax, Compensation, Finance, People Operations and external providers to ensure internationally mobile employees are paid accurately, compliantly and on time. This is a hybrid role with the flexibility to work both virtually and from our Krakow office. What the day will look like The Global Mobility Payroll Analyst will work closely with the Global Mobility Payroll & Operations Manager to support global mobility payroll operations, ensuring the accurate, compliant and timely delivery of compensation, allowances and statutory reporting for international assignments and permanent transfers across multiple countries. The role also involves supporting short-term business traveller compliance processes, tax compliance activities, shadow and split payroll arrangements, payroll reconciliations, payment processing, vendor management activities and payroll governance requirements related to international assignments and transfers. As part of the Global Payroll Centre of Excellence, the role will support globally consistent payroll standards, governance requirements, controls, data integrity, compliance activities and continuous improvement initiatives relating to internationally mobile employees. The Global Mobility Payroll Analyst will report to the Global Mobility Payroll & Operations Manager and play a key role within the Global Mobility and Payroll team. Success in the role will be measured by the ability to deliver an accurate, compliant, efficient and well-governed payroll service that supports Aon’s globally mobile employee population. The role will support Aon’s international transfer, assignment and globally mobile employee population. This will include: Payroll Operations Supporting the Global Mobility Payroll & Operations Manager in ongoing payroll processing for Aon’s global assignee and transferee populations. Preparing, reviewing and coordinating payroll instructions for globally mobile employees. Supporting home, host, shadow and split payroll arrangements to ensure accurate compensation reporting across multiple jurisdictions. Preparing and completing payroll reconciliations relating to assignment compensation, allowances, tax adjustments, shadow payroll reporting and year-end activities. Running reports, preparing calculations and analysing payroll and compensation data. Supporting compensation collection processes across multiple countries. Coordinating with payroll vendors and regional payroll teams to ensure payroll instructions are processed accurately and within agreed service levels. Investigating payroll variances, data discrepancies and processing exceptions and driving timely resolution. Supporting annual compensation cycles, cost of living reviews, hypothetical tax reconciliations and other payroll-related global mobility activities. Resolving one-off payroll issues and identifying root causes where recurring issues arise. Communicating proactively with all partners throughout the payroll process. Partnering with the Global Mobility Advisory team to ensure accurate assignee pay and allowance processing. Tax & Compliance Support Supporting annual short-term business traveller reporting activities in partnership with the internal Tax team. Supporting tax equalisation and hypothetical tax processes, including the preparation and reconciliation of payroll-related tax data. Coordinating with internal tax teams and external tax providers to ensure payroll-related tax information is complete, accurate and submitted on time. Supporting year-end compensation collection and payroll reporting requirements. Assisting with payroll-related compliance activities associated with international assignments and transfers. Supporting payroll compliance reviews and remediation activities where required. Governance & Controls Supporting payroll governance activities, including control execution, documentation maintenance, compliance reviews and audit readiness activities. Supporting SOX controls, internal audits, external audits and payroll compliance requirements relating to globally mobile employees. Maintaining payroll documentation, approvals, reconciliations and supporting evidence in accordance with Aon governance standards. Monitoring payroll activities for compliance risks and bringing up concerns appropriately. Supporting the development and maintenance of payroll process documentation, standard operating procedures and control documentation. Ensuring payroll data is handled in accordance with Aon privacy, confidentiality and data protection requirements. Vendor Management Reviewing Global Mobility vendor invoices. Reconciling vendor charges against services provided and assignment populations. Supporting vendor relationship management activities and service delivery reviews. Working with tax, relocation, payroll and other external providers to resolve payroll and operational issues. Calling out service delivery concerns, recurring issues or control weaknesses to the Global Mobility Payroll & Operations Manager. Reporting & Data Integrity Maintaining good Aon and Global Mobility system data integrity for payroll reporting and analytics requirements. Supporting payroll reporting, operational metrics and mobility payroll analytics for Global Payroll leadership and partners. Monitoring data quality between Workday, payroll systems, vendor platforms and mobility records. Producing and analysing payroll reports, dashboards and exception reporting. Supporting payroll governance reporting, compliance monitoring activities and continuous improvement initiatives. Providing payroll and operational insights to support decision-making and risk management. Continuous Improvement Supporting Global Mobility and Payroll projects. Finding opportunities to simplify, standardise and improve mobility payroll processes. Supporting payroll system enhancements, testing activities and process improvements. Contributing to globally consistent payroll standards and ways of working. Sharing payroll risks, recurring issues and good practices across the Global Payroll Centre of Excellence and wider People Organisation. Any other duties assigned by the Global Mobility Payroll & Operations Manager. Skills and experience that will lead to success Demonstrated payroll experience. Strong understanding of payroll processes and controls. Understanding of global mobility payroll concepts, including shadow payroll and split payroll arrangements. Experience preparing payroll reconciliations and validating compensation data. Experience working with payroll vendors and outsourced payroll delivery models. Excellent understanding of payroll governance, compliance and audit requirements. Knowledge of Workday HR systems. Knowledge of Global Mobility workflow and administration tools (e.g. KPMG systems or equivalent platforms). University Degree or equivalent. Good spoken and written English. Advanced Excel skills, including data analysis, reconciliations, pivot tables and reporting. Strong analytical and problem-solving skills. Strong attention to detail and organisational capability. Ability to manage multiple priorities and deadlines. Ability to handle confidential compensation, payroll and employee information. Desirable Experience supporting internationally mobile employee populations. Experience with tax equalisation and hypothetical tax processes. Experience supporting SOX controls and payroll audits.
