About this role

The purpose of this position is to provide administrative support and customer service at the Bethalto Education Center by maintaining accurate records, assisting students and clients, and supporting daily operations in a collaborative and service-oriented environment.

• Provide administrative support for student and client enrollment activities, including registration, course setup, and coordination with program staff. • Greet and assist students, clients, contractors, and visitors, providing responsive and professional customer service. • Support training and assessment programs by assisting with registration, check-in, proctoring, badging, testing, and class documentation. • Maintain accurate class records, files, records of completion, and other program-related documentation. • Assist with financial and business office functions, including credit card payments, and QuickBooks invoices. • Receive, sort, and distribute mail and perform other administrative duties to support efficient center operations. • Collaborate with program coordinators, faculty, and College departments to ensure effective service delivery and support student and client success. • Maintain flexibility in scheduling to accommodate plant turnarounds, special programs, and operational needs. • Typical hours of operation are Monday through Friday, 7:00 a.m. to 12:00 p.m., with occasional schedule adjustments as needed. • High school graduate or equivalent. • Basic operational knowledge of office equipment and procedures including, but not limited to: personal computer, fax, photocopier, voice mail and email communication applications, etc. • Administrative Assistant or equivalent experience. • Data entry experience. • Intermediate knowledge with Microsoft Software applications – Word, PowerPoint, Excel. • Skills and experience to work in a collaborative manner with colleagues, administrators and the community. • Experience using QuickBooks online.
